DJ Invoice Template: How to Bill for Gigs

Getting paid on time starts with a professional invoice. Too many DJs rely on casual payment requests — a Venmo link or a "can you transfer me?" text after the gig. A proper invoice protects your income, creates a paper trail for taxes, and signals professionalism to bookers and clients.

1. What to Include on Every DJ Invoice

Your invoice must include: your full legal name or business name, your address, the client name and address, a unique invoice number, the invoice date, the event date and venue, a clear description of services ("DJ performance, 4-hour set, Club XYZ"), the total fee, the deposit already paid, the remaining balance due, your payment details (bank account or payment link), and the due date.

2. Deposits and Split Payments

Standard practice is a 50% deposit on contract signing and 50% on or before the event. Your invoice should clearly show the deposit received and the remaining balance. If the client paid the deposit separately, issue a deposit receipt first, then a final invoice for the balance. GigComs tracks deposits automatically and generates invoices with the correct amounts.

3. Multi-Currency and International Bookings

If you play internationally, you will invoice in different currencies. Always state the currency clearly (EUR, USD, GBP, DKK). Specify whether conversion rates apply and who bears currency exchange fees. For large international bookings, consider invoicing in the client's currency to simplify their payment process.

4. Late Payment Terms

Include a late payment clause: "Payment is due within 14 days. A late fee of 2% per month will apply to overdue invoices." This is standard business practice and legal in most jurisdictions. The clause alone encourages timely payment — you rarely need to enforce it.

5. Tax Considerations

Depending on your country, you may need to charge VAT or sales tax. If you are VAT-registered, include your VAT number and the VAT amount as a separate line item. If you are below the VAT threshold, state "VAT not applicable" or your local equivalent. Consult an accountant for your specific situation.

A professional invoice takes 2 minutes to create and can prevent weeks of payment delays. Use a consistent format, send invoices promptly after the gig, and follow up on overdue payments within 7 days. GigComs generates invoices automatically from your bookings — just confirm the gig and the invoice is ready to send.
